Privacy Policy

Circles Co Technologies (“we,” “us,” or “our”) operates Studio, a platform for organizations that work with people. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Studio you agree to the practices described here.

Information we collect

• Account information. When you create an account we collect your name, email address, organization name, and billing details needed to provide the service.
• Content you add. Studio stores the data you and your team put into it — people records, giving and payment records, events, messages, files, and related content. This data belongs to you.
• Usage data. We collect technical information such as IP address, browser type, device information, pages visited, and feature usage to operate, secure, and improve the service.
• Cookies. We use cookies and similar technologies to keep you signed in, remember preferences, and measure performance.

How we use information

• To provide, maintain, and improve Studio.
• To process payments and send transactional and service communications.
• To provide support and respond to your requests.
• To protect against fraud, abuse, and security threats.
• To comply with legal obligations.

How we share information

We do not sell your personal information. We share data only with:

• Service providers who process data on our behalf (for example payment processors such as Stripe, hosting, and email delivery), under contracts that require them to protect it.
• Your organization. Data you contribute is accessible to others in your organization’s workspace according to their role and permissions.
• Legal requirements. When required by law or to protect rights, safety, and property.

Connected Google and Microsoft accounts

Studio’s Booking feature lets you publish bookable time so other people can choose an appointment with you. You may optionally connect a Google Calendar or a Microsoft Outlook calendar so that those appointments land on it and your existing commitments are protected.

Connecting is always optional and always your choice. Booking works without it, nothing is connected unless you sign in to the provider yourself and grant permission, and the permission covers only your own calendar — never anybody else’s.

What a connected calendar does:

• Reads when you are busy, so Studio never offers a time you are already committed. We read only the periods an event occupies. We do not store your event titles, guests, descriptions, locations or attachments, and the person booking you never sees them — only that a time is unavailable.
• Writes the appointment onto your calendar when somebody books you, and updates or removes it if that booking is rescheduled or cancelled, so your calendar stays correct without you copying anything across.
• We request the narrowest permission that supports both directions — calendar.events on Google, Calendars.ReadWrite on Microsoft. Neither reaches your email, files, contacts, calendar sharing settings, or anything else in your account.
• Access tokens are encrypted at rest and are never sold, never shared with third parties, never used for advertising, and never used to build a profile of you.
• We do not use this data to train or develop artificial intelligence or machine learning models, and no human reads it except where you have asked us to for support, where it is necessary for security, or where the law requires it.

Google API Services. Studio’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google’s handling of information it receives is governed by the Google Privacy Policy.

Microsoft Graph. Calendar access on Microsoft accounts uses Microsoft Graph. Microsoft’s handling of information it receives is governed by the Microsoft Privacy Statement.

Removing this data. Disconnect the calendar in Studio and the stored tokens are deleted immediately — Studio stops reading and stops writing at once. You can also revoke access at any time directly from your Google Account permissions or your Microsoft account apps. Appointments already written to your calendar remain yours and are unaffected. Deleting your workspace removes everything, as described under Data retention.

YouTube API Services

Studio’s worship planning tools let you attach a reference recording from YouTube to a song, so your team can hear an arrangement before rehearsal. To make that possible, Studio uses YouTube API Services.

By using this feature you are also bound by the YouTube Terms of Service. Google’s handling of any information it receives is governed by the Google Privacy Policy.

What this feature does:

• When you search for a video inside Studio, we send your search text to YouTube and show you the results. We do not send your name, email address, or any other information about you or your organization.
• Studio never asks you to sign in to YouTube or Google, and never accesses a YouTube account, its subscriptions, playlists, or watch history.
• Search results are held in a temporary cache for up to 12 hours so repeat searches are faster, then discarded.
• When you attach a video, we store only its link and a label you can edit. We do not store video titles, channel names, thumbnails, or any other information from YouTube.
• Videos play through YouTube’s standard embedded player. Studio never downloads, copies, or re-hosts video or audio.

Removing this data. Delete the attached video from the song in Studio and its link is removed with it. Deleting your workspace removes it along with the rest of your content, as described in Data retention.

Data retention

We retain your information for as long as your account is active or as needed to provide the service. You may request export or deletion of your data; we will honor such requests subject to legal and contractual obligations.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details below.

Security

We use administrative, technical, and physical safeguards designed to protect your information. See our Security page for details. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

Studio is not directed to children under 13, and we do not knowingly collect personal information from them. Organizations that record information about minors are responsible for obtaining any required consent.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date and, where appropriate, provide additional notice.
